Responsible for front office reception and administration duties, acts as first point of contact for the agency and greets visitors, patients, and staff.
Answering phones, handles company inquiries, provides clerical support to others in the office.

Specific 1.
Greets and welcomes patients and visitors as soon as they arrive at the office and directs each person to the appropriate staff member.
2.
Answers phones calls, screens, and forwards incoming calls to the appropriate person.
Takes and relays messages.
3.
Manages phones system daily to ensure phones are set to route to scheduled on-call representative.
4.
Provide support to Administrator, office management staff as needed.
5.
Maintains business office inventory and equipment by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders; verifying receipt of supplies; scheduling equipment service and repairs.
Orders supplies requested by staff.
6.
Responsible for overseeing, ordering, preparing, and maintaining supplies, equipment, etc.
for case managers.
7.
Assists in Emergency Preparedness planning, drills, as assigned.
8.
Monitors PPE databases, maintains adequate supply of PPE and kits, fulfills order requests, and coordinates with medical supply personnel for delivery to patients' homes.
9.
Delivers PPE, electronic devices, or other items to patients' homes, as needed.
10.
Completes the setup, assignment, and maintenance of electronic devices, including maintaining associated tracking and logs, as needed.
11.
Receives, sorts, and distributes mail/deliveries.
12.
Creates cheat sheets for various ongoing tasks for employee reference.
13.
Maintains office filing and storage systems.
Audits scanned or paper files to ensure accuracy before shredding.
14.
Uploads documentation to patients charts in a timely manner and accurate manner.
15.
Creates, prepares, and maintains a supply of patient admission packets, supplies, PDN Bins, client supplies and equipment, and other packets/supplies as assigned.
16.
Performs other clerical receptionist duties such as filing, scanning, photocopying, transcribing, and faxing.
17.
Responsible for opening and closing protocols for the office.
18.
Ensures the reception area is tidy and presentable, with all necessary stationery and materials (e.
g.
, pens, forms, brochures).
Keep mini-fridge and coffee stocked.
19.
Oversees office maintenance and cleaning.
20.
Regularly attends and contributes to all staff meetings.
Takes meeting minutes and distributes to staff, as assigned.
21.
Schedules and assists with meetings, training, and events, as assigned.
22.
Runs errands as requested.
23.
Creates and distributes all types of cards, gifts, etc.
for staff, clients, etc.
Maintains appropriate count of supplies needed and re-orders as needed.
24.
Assist in Orientation, as assigned.
25.
Maintains and updates new hire manuals, paperwork and process, as needed.
26.
Assist with referrals and intakes, as assigned.
27.
Accepts ownership for accomplishing new and different tasks.
28.
Responsible for maintaining an office environment that fosters the professional growth and development of staff.
29.
Proficient in MS Office and good knowledge of relevant software and databases.
30.
Fulfills assigned tasks, provides proper notice of absence, and takes appropriate steps to arrange coverage as needed.

Performs other related functions as directed.
Minimum
Qualifications:
1.
Education:
Graduation from high school or equivalent.
Business degree preferred.
2.
Experience:
A minimum of 2 years of office experience is preferred.
Special Requirements:

Valid, current state driver's license.
2.
Access to a reliable automobile.
